Meeting Summary: Monthly Admin Training Call (October)

This is the October edition of the monthly admin training call, hosted by Anna Goodwin. Guest presenters were Erin Hickey (Solutions Operations), Melissa Wellmon (Advanced Markets), Amanda Champion (carrier/promotions), and Susan Shearer (onboarding), with Roddy Jessup chiming in on Fast Start.

Important HQ Updates

Reporting and leaderboards

  • Opt-to-HQ sync issues (still being fixed): Two simultaneous problems are causing discrepancies in the Opt leaderboards. One is the Opt refresh feeds and sync to HQ. The other is how apps submitted at the monthly cutoff are counted. You may see differences in APV, app counts, unique rider counts, and rankings until it’s resolved.

  • Where to report it: Email the ops team (given as sfg.ops at quility.com) if you see discrepancies.

Submitted Applications dashboard

  • Where it is: HQ → Reporting and Stats → Policies → Submitted Applications. You can filter by agency type or carrier and export lists. Admins of a 130 who has signed the PDF access agreement can also see client detail.

  • Coming at the end of October (currently in QA): A client reactivation view. Canceled, terminated, or lapsed policies will show their status from carrier feeds, with an actionable dropdown to disposition each one (reactivated, not interested). It will be filterable and exportable.

  • Carrier feeds: The “Core 8” carriers have feeds now. Transamerica, National Life Group, and American General are being added.

  • Conservation team: It will keep contacting clients on lapsed-pending policies to avoid chargebacks, even after this update.

  • Later: More policy review and negative-action detail is planned once dev capacity is available.

Sales Tools pages

  • FIF and Resets hub: It now hosts the simplified FIF PDF from Fast Start and updated role-based resources for resetting agents, agency owners, and SMEs. The digital FIF and easy reset are still the first option. FIF data is collected, so you can audit who is filling them out and whether they led to applications. Make sure your AO has an SME in each reset pool.

  • Advanced Markets homepage: It lives under Sales Tools → Carriers and Products. It has a resource map, an SME “how to” block, and guides for AOs.

Other HQ changes

  • Chatbot FAQs: They’ve been updated (bottom right corner of HQ). Try it before submitting a ticket.

  • Carrier site lookup resource (in HQ FAQs): It’s updated to show hierarchy, comp level, and agent personal info, and whether the agent is set to “advancing” or “as earned.” The carrier did a site refresh right after, so it’s not fully updated yet.

  • Onboarding alert: HQ messages now show an onboarding alert whenever an agent is home-office approved. AOs can use it to know exactly when an agent gets HQ access.

  • Opt credentials: They’re now in the agent’s HQ profile, not in the Fast Start welcome email.

  • Onboarding approval email: It’s been updated and doubles as the welcome email, so agents no longer wait for a separate one. Susan shared the subject line and sender so you can help agents find it.

  • Onboarding portal FAQs (coming very soon): There will be 34 new FAQs in 6 categories.

  • Recordings: The recording and slide deck are available on the HQ Calls and Webinars page.

Other Updates

Advanced Markets (Melissa Wellmon)

  • Agents under the 95 contract level: They should focus on Family Solutions, resets, and Level Up Plus/Quantum.

  • Agents at 95+: They can pursue SME paths and get LMS access.

  • Access and support: LMS advanced markets courses are for key leaders and above; send a support ticket to request access. The Friday case design call offers live help with illustrations and objection handling.

  • Advisors Excel: It has a separate contracting and onboarding process (3 certification levels plus state requirements), and pending annuity business can take 5 to 7 business days.

  • Case design requests: Include name, number, agency, and carrier/product.

Promotions and carriers (Amanda Champion)

  • 110 promotions: The declaration (builder path, AO, or personal production only) must be submitted with the promotion request. If the agent has a downline and no hierarchy change form is submitted, they must hit $45,000 with 9 writers instead.

  • Hierarchy transfers: Symmetry does not endorse them, and AOs can say no (AO Handbook p. 9, which may shift to p. 10 after updates this month). Otherwise the agent must resign and sit out 6 months.

  • SBLI debt tracking (sneak peek): Resources are coming. For now, use the Commissions link, then the money bag icon, then saved views.

Q&A

  • Transamerica contracting: Brittni Hernandez said two agents were told they needed additional contracting to write Final Expense Express. Susan asked her to email directly to look into it.

  • Fast Start call: Roddy explained it covers the repetitive onboarding questions, with Susan or Brittany on hand to fix issues live. It runs Mondays and Fridays.
